Email Configuration

Email Client Settings (Outlook / Eudora / Thunderbird / Phone / etc)

Email settings for an Email Client (Outlook, Eudora, MAC mail, BT Yahoo Mail, etc.):

Incoming mail server: mail.yourdomain.com
Outgoing mail server: mail.yourdomain.com
Outgoing mail server does require authentication.
Incoming mail port: 110 for POP3, 143 for IMAP
Outgoing mail port: 25 (If 25 does not work, try 26, as some ISPs block port 25)

Username is the same one as you use for webmail (the full email address).
(If entering “username@yourdomainname” does not work, try “username+yourdomainname”)

What do I put for both incoming and outgoing mail server?

What do I put for both incoming and outgoing mail server?
For both incoming and outgoing mail server, put:
mail.yourdomain.com

If mail.yourdomain.com is not working (perhaps because you recently changed your domain’s DNS), then you can replace it with the IP address or the hostname of the server which you are on.

The incoming port number is 110.
The outgoing port number is 26.

These settings are the same for your addon and parked domains (when you are checking email for them and need to set up your account in your email client).

Where do I go to check my emails using my browser?

Where do I go to check my emails using my browser?
To check your email using your web browser, go to http://yourdomain.com/webmail/.
You can also go to http://yourdomain.com:2095/.

If you wish to check your email in your web browser securely, go to https://yourdomain.com/webmail/.
You can also go to https://yourdomain.com:2096/.

Setting Up Email for the Apple iPhone

Setting Up Email for the Apple iPhone
Please watch our movie tutorial on Setting up email for iPhone

Although most email settings are identical, the iPhone requires a special setting for the incoming and outgoing mail servers. Instead of using the defaults that are typically used in the email settings replace mail.yourdomain.com with yourservername.websitewelcome.com.

If you aren’t sure of the name of your server you can usually find it in the Stats on the left hand side of your cPanel. If you don’t see it immediately, you can also try pressing CTRL+F and typing in “server name” and pressing enter. This should highlight and take you to the correct area. If you are still unable to find your server name you can contact one of our support agents via chat or phone and they will be happy to retrieve that information for you.

  • Press the Home button and select Settings > Mail, Contacts, Calendars.
  • Under Accounts, select Add Account…
  • Select Other.
  • Enter your name (which will show in the from field) and your full email address.
  • Enter your email password and description (we recommend the full email address as your description).
  • Press Save.
  • Select IMAP or POP (we recommend IMAP).
  • Under Incoming Mail Server, enter yourservername.websitewelcome.com as the Host Name.
  • Enter the full email address as your User Name.
  • Enter your email password and then scroll down.
  • Enter the same information under Outgoing Mail Server.
  • Press Save.

You are now ready to send and receive emails via your iPhone.

Setting Up Email for the Blackberry

Setting Up Email for the Blackberry

You can set up your Blackberry to use email:

  • To get to the email setup site:
    • If there’s an Email Setup option on your smartphone’s home screen, click it.
    • Alternatively, there is a setup wizard on the device which will either start automatically the first time you turn on your smartphone, or will be featured as an icon on the home screen of your smartphone. When you reach the email setup screen of the setup wizard, select “I want to create or add an email address.”
  • Click Next.
  • To accept the terms of the license agreement, select the I have read and understand the End User Agreement option or check box.
  • Click I Agree.
  • To integrate an email address you already use, enter your full email address and the password for that email account.
  • Click Next.
  • The site will confirm if the email address has been successfully added. Then click OK.
  • To return to the setup wizard, click Log Out or Close.

You may have to re-register your device with your wireless network. Its very easy to do this. Click the Blackberry button > Options > Advanced Options > Host Routing Table > Click the Blackberry button and choose “Register Now”. This should sync your PDA with your carriers wireless network.

Older models

If you create an email address with the same name as your cPanel user name, there can be a major conflict.

When you setup an account on BIS it asks for only 2 things, e-mail address and password and tries to guess the rest. Now normally this is fine because it’ll fail and ask for the real information, but because the email and username both exist, if the passwords are the same, Blackberry will accept that this data is correct, and sync the phone with the accounts default e-mail address instead of the email address.

The fix for this is simple; just give Blackberry a false password. When it cannot authenticate it will then ask you if you want to “Re-enter account information” or “Enter the settings manually”. Select Enter Settings Manually, then select “I will provide the settings to add this email account”. Finally, enter the full IMAP information for your account. This will cause BIS to sync with the proper account.

Note: In the new Blackberry OS this is not the case, and this fix may not apply to the newer OS. However, this is something to try if you’re stumped.

Mac Mail Set Up

Mac Mail Setup

  • Open up Mail.app and press Command+Comma to invoke the Preferences window.
  • Switch to the “Accounts” pane and press the + button in the lower-left corner.
  • Under “Account Information”, fill out the following information:
    • Account Type: POP or IMAP (we recommend IMAP)
    • Email Address: email-name@your-domain-name.com
    • Incoming Mail Server: mail.your-domain-name.com
    • Username: email-name@your-domain-name.com
    • Password: your email password
    • Note that POP uses port 110 and IMAP uses port 143
  • Select “Add Server…” from the Outgoing Mail Server (SMTP) pop-up menu. Here are the details for it:
    • Outgoing Mail Server: mail.your-domain-name.com
    • Server port: 26
    • Use Secure Sockets Layer (SSL): NO
    • Authentication: password
    • User Name: email-name@your-domain-name.com
    • Password: your email password
    • Dismiss the window by pressing “OK.”
  • Back in the “Accounts” pane, switch to the “Advanced” tab and do not check the box marked “Use SSL” towards the bottom.

What is the imap path prefix?

The correct code is INBOX (all caps).

Too many connections, 500 errors?

The main problem with Mac Mail is normally with the IDLE setting, basically this leaves the connection to the server open to check for new messages as soon as they arrive rather than trying to connect every say 5 minutes or so.

This link describes the setting and how to change it in Mac Mail: http://email.about.com/od/macosxmail…_imap_idle.htm

Relevant parts:
To have emails appear instantly in IMAP accounts in Mac OS X Mail:

  • Select Mail | Preferences… from the menu.
  • Choose Accounts.
  • Select the desired IMAP account.
  • Go to the Advanced tab.
  • Make sure Use IDLE command if the server supports it.
    • You can additionally uncheck Include when automatically checking for new mail. Keep in mind that Mac OS X Mail receives instant updates only for the open folder, though.

While this may be the desired affect, to get your emails instantly, Mac Mail leaves one connection open for each IMAP folder, that is, INBOX, OUTBOX, TRASH, and any custom folders you may have.
My simple suggestion: Turn off the IDLE function and set it to check every 5 minutes or longer, and monitor your connections.

POP vs IMAP

POP vs IMAP
IMAP4 is an especially convenient method of delivery for those who use multiple computers and would like to use an email client instead of Webmail. A growing number of email users have one machine at work and a different one at home, possibly also a laptop for travel, or they use public PCs in a library or computer lab. Like POP3, mail is delivered to a central server, but the mail client (Eudora, Outlook, Netscape Messenger) does not copy it all at once and then delete it from the server. It’s more of an interactive model, where the user can ask to view all messages or messages meeting certain criteria. Messages on the central server can be marked with various status flags (e.g. “deleted” or “answered”), moved to folders either on a local computer or on the server, and they stay on the server until explicitly removed by the user. This way the messages can be viewed from other computers until they are marked for deletion or downloaded to a folder on a computer. In short: IMAP4 is designed to permit manipulation of remote mailboxes as if they were on a local machine.

POP3 is designed to support “offline” mail processing. POP3 differs from IMAP4 as it ‘downloads’ the email messages through an email client (Eudora, Outlook, Netscape Messenger, etc.) One of the chief virtues of offline access is that it less dependent on server resources (meaning less time needed to stay connected to the internet.) However, email access for the mobile user is limited.

Users who need to check their email from various locations should consider using Webmail or IMAP. Most of our clients prefer Webmail due to its ease of use and the fact that it can be accessed with just a web browser.

Webmail

How to log into Webmail

How to log into Webmail
Please watch our video tutorias on using webmail

Webmail is a great feature offered by cPanel. You can access email from any PC connected to the Internet. There are two ways to log into the default webmail supplied with cPanel.

Type the following information into the browser.

If the domain name has propagated type:

http://www.yourdomainname.com/webmail

or

http://webmail.yourdomainname.com

You can also access it by going through the default webmail port number of 2095 as in the following example.

If the domain has propagated type:

http://www.yourdomainname.com:2095

Once you go to the address above, you will be prompted for your user name and password. Be aware, it is not asking you for your cPanel user name and password. All email account user names look just like the email address.

In the user name section, type your full e-mail address. (Example: you@yoursite.com)
In the password section, provide the password which you provided when you created the email account. Then hit enter.

You are now logged into webmail.

How can I setup webmail to go directly to Horde, SquirrelMail or RoundCube?

How can I setup webmail to go directly to Horde, SquirrelMail or RoundCube?

  • Login to the webmail program you prefer. You can get there by going to your-domain.com/webmail. You’ll need to login using a username (which is the full email address) and password.
  • Once you have logged into webmail, click on the webmail program of your choice.
  • Copy the url in your address bar. It will look something like:http://your-domain.com:2095/3rdparty/roundcube/index.php

    http://your-domain.com:2095/horde/login.php

    http://your-domain.com:2095/3rdparty/squirrelmail/src/login.php

Note: You must replace your-domain.com with your actual domain name in the above examples.

  • Once you have the URL you’ll be wanting to use, login to your cPanel.
  • In cPanel, setup a subdomain called something like myemail.your-domain.com (you can do this by clicking on the “subdomains” icon in cPanel). Do NOT use mail.your-domain.com as these particular subdomains are already in use on the server and attempting to use them as subdomains can result in conflicts.
  • After you’ve setup the subdomain in your cPanel, setup a “redirect” for the subdomain (by clicking on the “subdomains” icon). You will need to setup the redirect so the subdomain goes to the URL of the webmail program of your choice.

Email Functionality

Default Address, Catchall

Default Address, Catchall
What is the default address?
It is a catchall mailbox that receives all emails written to a non-existing name @ your domain.
Why is this disabled?
We disable Default Address because if you don’t know how to use it, it can cause your account to flood with email.
How do I enable it?
Please contact Clearlight and ask for your “catchall email to be enabled.”
Once enabled, what do I do?
Go through the drop down and make sure every domain’s Current Setting is “:fail: No Such User Here”.

If the settings are wrong, or you are not sure, follow these steps.

  • Select the first domain name in the drop-down.
  • Choose “Discard with error to sender (at SMTP time)”.
  • Set the “Failure Message (seen by sender):” to No such person at this address.
  • Click the Change button.
  • Repeat for every name in the drop-down.

This will prevent your account from filling up with unnoticed spam.

How to set the catch-all E-Mail address

How to set the catch-all E-Mail address
Be careful when you set up a default address. This is due to possibly becoming a victim of spam. A default address allows all unrouted or misaddressed e-mail to be sent to a particular e-mail address, rather than bouncing.

Please keep in mind that Clearlight disables the default address by default for all shared and reseller accounts. You will need to contact support to request that the default address is enabled.

To set up a catch-all e-mail address please do the following:

  • Click Mail.
  • Click “Default Address”.
  • In the drop down menu below “Send all unrouted e-mail for:” select the domain name for which you would like to set up the Catch all.
  • You will be given two different options to choose from which will determine how the unrouted or misaddressed email sent to your domain will be handled.
    • Discard with error to sender (at SMTP time): Choose this option if you wish for the E-mails to bounce back to the sender with a specified error message. You may choose the failure message that is given in the bounceback by filling out the “Failure Message” box.
    • Forward to email address: This option is the most commonly used. With this option, all unrouted or misaddressed emails will be forwarded to the e-mail address which is specified. Please be aware that by having all unrouted email go to an e-mail box, you might receive a large amount of unwanted e-mails to the point where your email box will fill.
  • Advanced Options. You must click the link “Advanced Options” to see the additional options you may choose for your default address.
    • Discard: This option will be used if you do not wish for any bounce back message to be sent to the sender of the unrouted e-mails.
    • The “Pipe to a program” option will send the email to a script of your choice. When piping to a program, you should enter a path relative to your home directory. If the script requires an interpreter such as perl or php, you should omit the “/usr/bin/perl, or /usr/bin/php portion.” Make sure that your script is executable and has the appropriate Hashbang at the top of the script. If you do not know how to add the Hashbang, just make sure to name your script file with the correct extension and you will be prompted to have the Hashbang added automatically.
  • Next, click on the “Change” button to complete the set up of the default address (Catch All Feature ).

Email Attachments

Email Attachments

WEBMAIL
In cPanel webmail (Horde & SquirrelMail), this attachment limit is 50 MB. In other webmail programs, attachments are limited to the php_upload size. This was recently updated to 64 MB.

OUTLOOK
When I send an e-mail with an attachment it is not delivered or bounces back why?

  • The most common reason is the size of the attachment. Clearlight does not enforce an attachment limit, but if you’re sending a 10mb or larger attachment it may fail because it is too much for your Internet Connection.
  • The server is designed to block some attachment types if they are not zipped up. The two currently being blocked are: .src .exe. The reason for this is that your mailbox would be flooded every day with viruses if this was not in place. Unfortunately, there is no way to turn this off; your only option is to zip your attachment.

How can I send extremely large files?
Add the file to your site and email the link, instead.

The information needs to be secure.
You can put the files in a password protected directory, and email the link along with the user name and password

How to create/delete an Email forwarder

How to create/delete an E-Mail forwarder
Please watch our video tutorial on how to create an email forwarder

A forwarder is important when you want a copy of an email to be sent to another e-mail address upon receipt. To create e-mail forwarder’s, please do the following:

  • Log into cPanel
  • Click on the “Forwarders” icon.
  • Click on “Add Forwarder.”
  • In the first box, provide the beginning extension for the email address you wish to set up to forward email from.
  • In the drop down menu to the right of the “@” sign, select a domain for which the email address is associated with.
  • Next, you must choose the destination of the new forwarding email. You will be given three options.
    • “Forward to an email address” is the default option. Select this if you wish to send emails to a specific email address. Please refer to the related article for how to forward to multiple emails.
    • Discard with error to sender (at SMTP time). Choose this option if you wish for the E-mails to bounce back to the sender with an error message. You may choose the failure message that is given.
    • The “Pipe to a program” option will send the email to a script of your choice. When piping to a program, you should enter a path relative to your home directory. If the script requires an interpreter such as perl or php, you should omit the “/usr/bin/perl” or “/usr/bin/php” portion. Make sure that your script is executable and has the appropriate Hashbang at the top of the script. If you do not know how to add the Hashbang, just make sure to name your script file with the correct extension and you will be prompted to have the Hashbang added automatically.
  • Now click on “Add Forwarder” to complete the creation of your new forwarder.

You have now just created a forwarder. When someone sends you and email to the email address specified a copy will also be sent to the email address provided. Please be aware, It will leave a copy of the email on the sever as well. This means that eventually, the email box will fill and will stop forwarding messages.

To avoid this issue, you can create a forwarder for an email box that currently does not exist. If you do this, there will be no email box for a copy of the message to be saved in before the message is forwarded off of the server.

How can I stop my email from keeping a copy?
You must delete the mailbox from Email Accounts, and only keep the forwarder. This way the email will still forward, but the emails will not be saved at the first address.

Can I have all the outgoing email forwarded to my email address?
No, this can only be done on a dedicated server.

Is it possible to set up e-mail accounts that forward to more than one e-mail address?
Yes you can. You just need to log into your site’s cPanel and click the Forwarders icon, and then add a forwarder for each destination, like so:
support@domain.com –> email@domain1.com , Add
support@domain.com –> email@domain2.com , Add
support@domain.com –> email@domain3.com , Add

Spam Assassin is a great anti-spam tool. We recommend to activate it as soon as you create an account or log in for the first time. To enable and disable Spam Assassin please do the following:

  • Login to cPanel and look in the Mail section
  • Click Spam Assassin™
  • Click Enable SpamAssassin to enable
  • Click Disable SpamAssassin to disable

You have now just enabled / disabled Spam Assassin.

Required Score:
0 means everything will be marked as Spam
5 is the default
10 means nothing will be marked as Spam

Just setup Spam Assassin once, and it works for all of the emails on your account. Spam Assassin will mark your spam so it is easy to notice. (You can even make spam assassin automatically delete those emails.)

NOTE: You can use Spam Box or Email Filtering to move the spam from your Inbox to another folder.

Check your Outlook or other mail client for filtering tools.

Unfortunately, SpamAssassin no longer rewrites the subject line of your emails.

Fortunately, you can accomplish email filtering with the tools we provide:

  • In your webmail, create a folder called Spam.
  • In cPanel, go to User Level Filtering.
  • Next to your email address, click Manage Filters.
  • Click the Create a new Filter button.
  • Give the filter a name like SpamAssassin Rule.
  • Change the “From” drop down to “Spam Status”.
  • Change the “equals” drop down to “begins with”.
  • In the large blank below, type Yes
  • Change the “Discard Message” drop down to “Deliver to folder”.
  • Click the Change button and choose your new Spam folder.
  • Click the Activate button.

Now you can use IMAP and subscribe to the new Spam folder.

How to set up a Mailing List in cPanel

How to set up a Mailing List in cPanel
Mass emailing: Avoid sending to multiple addresses using the CC field; everyone will see each others email address. You can always send it by BCC, but this can be a hassle when you often have new people to email.

You may want to set up a mailing list to send an email to many people; there is no way for the receivers to see each others emails, and the list automatically updates with new members. There are many mailing list scripts on the internet, but we recommend to use PhpList, located in Fantastico.

  • Login to cPanel
  • Click on Fantastico De Luxe
  • Click on phpList
  • Fill in some details, and install.

Email Troubleshooting

General Email Troubleshooting

Email Troubleshooting

  • Make sure your user name and password is all lowercase.
  • Make sure you have created the email address in your control panel.
  • Change the user name to the full email address. Example: username@domainname.com

Still not working?

  • Change your incoming and outgoing mail servers from mail.yourdomain.com to the ip address listed in your welcome email.

Are you able to receive emails but not send?

If you use Outlook, please be sure that you select the option for “Outgoing SMTP Server Requires Authentication”. This is required by our server security now.

If you can receive mail but aren’t able to send your internet provider is blocking you from using anyone’s outgoing mail servers but their own. Many major ISPs are blocking outgoing emails. The reason they do this is to prevent you from using their internet connection for spamming purposes. You will still be able to send emails, but only by using your ISP’s outgoing mail server

Every ISP’s outgoing mail address is different, but for the most part they will be mail.yourispname.com. For example, if you had hosting with AOL.com, their outgoing mail server would look like this: mail.aol.com. If mail.yourisp.com does not work and you are still unable to send emails, you will need to call your internet service provider to find out what their outgoing mail server is.

We also have exim running on port 26 for this very reason. A possible work around is to change your outgoing mail to port 26

Are you able to send emails but not receive?

Either your domain is out of disk space, or your e-mail address itself is out. You will need to increase the amount of disk space to receive mail again. Either your domain is over quota, or your e-mail address itself is over quota. You will need to increase the amount of disk space to receive mail again.

Please sign into cPanel and look in the left menu for Disk Space Available. Make sure this is a positive number.

Next, please, click the Email Accounts icon. Check the column that says Usage, and make sure it is not higher than the Quota.

How can the email go over quota? The last message may have been large, or the quota may have been decreased while the email account was at its current size

Does it say “please enter your username and password for the following server” and you are sure you’re using the correct information?

Most of our servers have a 60 checks per hour limit. If you hit this limit in any hour you’ll be locked out for the rest of the hour. you will need to click > tools > options > general > and disable where it says “check for new messages every xx minutes”. If you do not want to disable it just set it to check less often. keep in mind the more computers you have auto checking or checking the mail the quicker you will hit this limit.

If you are trying to send emails and get a message like:
421, response: Unexpected failure, please try later
then it could be a temporary issue.

If the message says:
“No action is required on your part. Delivery attempts will continue for some time, and this warning may be repeated at intervals if the message remains undelivered. Eventually the mail delivery software will give up, and when that happens, the message will be returned to you.”
then the receiving email may have problems.

If you experience this error everytime, please contact Clearlight so we can test your email and POP client settings.

451 error while writing spool file

This message indicates that your email is not configured properly. Please double check you are using the correct outgoing SMTP settings.

550 error

This error indicates an inability to send emails.
There are many reasons for a 550 error.

550 SMTP Error

“Perhaps you have not logged into the pop/imap 550-server in the last 30 minutes or do not have SMTP Authentication turned on 550 in your email client.”
When you get this or other 550 errors, it is time to contact Clearlight via phone or chat for help.

Error : Dictionary Attack

A method often used by spammers. They send various emails or passwords to a domain hoping that one will succeed.

The server detects a dictionary attack when a user attempts to send email to four consecutive invalid email addresses. When this happens the server believes it is getting spammed by someone who is trying a bunch of addresses to see if any of them get through.

Resolution:
The dictionary attack block will be removed after 1 hour if there are no more than 4 erroneous emails in a row.

You must stop sending emails and pause your mailing lists. Then wait approximately 1 hour, and it should clear itself.

If you were using Outlook, during the wait you can try using webmail to send messages.

Email returned, Blacklisted or Rejected by Recipient

Email returned, Blacklisted or Rejected by Recipient
Note: We can only fix this if the block is against the entire server. If the block is specifically against your email address, then the receiver is blocking your emails purposefully and we cannot remove the block.

If you get a bounce back error that you cannot figure out, please visit this link so that you can enable the full headers of the email. (Full headers are required so that we can solve your problem.) Once the headers have been exposed, please email the full headers and bounce back error to Clearlight.

I changed my MX record and I am not receiving any email at my mail server.

I changed my MX record and I am not receiving any email at my mail server.
If you ever send mail from any site that is on the same server where your site is hosted, your external mail server will not receive the mail.

The reason for this is that a server will always try to send locally before it tries what the actual DNS or MX zone points to. The way to fix this is to e-mail support@clearlight.com saying “Please remove my domain ****.com from /etc/localdomains and add it to /etc/remotedomains”.

Only we are able to make this change for you. Once the change is done, the problem should be fixed.

0x800CCC65 — This error code is indicative that a local firewall such as Zone Alarm or anti-virus software such as NOD32, Norton Antivirus, or McAfee is blocking outgoing connections to your mail server. Try disabling any of this software and see if this error still persists.

0x800CCC67 — This error is mostly attributed to one of a few things: the ISP is blocking port 25, a local firewall or anti-virus program is blocking SMTP communication or the account in Outlook is setup incorrectly.  Please change the SMTP port from 25 to 26, disable any firewalls or anti-virus software.

0x800CCC78 — Your sender address must be a full email address not simply a username. Please set up your account in Outlook/Outlook Express to use a full account name such as username@mydomain.com instead of simply ‘username’

Try the following steps in addition to what is found in the article:

  • Your email client is mis-configured
  • Your ISP is blocking access to port 25
  • There is a DNS problem with your ISP
  • There is an error with SMTP on one of our servers

Below you will find the most common solutions to fix the above problems:

  • Shutdown and restart your computer.
  • Complete email address for Email Address & User ID.
  • POP, IMAP, SMTP will be mail.your-domain-name.com.
  • Make sure Outgoing server has selected Requires Authentication.
  • Change the Outgoing Port from 25 to 26. Many ISPs are now blocking port 25 to prevent their clients from spamming.
  • Temporarly turn off all virus and/or firewall software.
  • Try the ISP’s outgoing mail server if the problem persists

Outlook Malfunctioning

Outlook Malfunctioning
If a message is stuck in the Outbox, please go to File and choose Work Offline. Close outlook and reopen it. Now you can delete the email. This happens usually to emails with attachments; it may be time to install a new Outlook.

If Outlook is not downloading all of your messages, and the quota is good, then you may have other mail programs (like Blackberry) downloading the emails and thus removing the copies.

If Outlook is downloading multiple copies of your messages, then most likely your Outlook program is broken. I suggest downloading a new copy to install, or there may be a patch provided by Microsoft.

If Outlook is trying to download a message, but gets stuck, then the message is likely too large or has a large attachment. I suggest you delete the problematic message from webmail and try again.

Too many SMTP connections error

Too many SMTP connections error:
We limit 25 concurrent connections per your IP address.
If you are getting this error, then too many people in your office are using the POP/IMAP mail client to send emails.

Solutions
Either wait until less people are sending email from your network, or login to webmail and send from there.

Email client suddenly claims your password is wrong?

Does your email client suddenly claim your password is wrong, even though you have not changed any settings?
All of our shared servers have a 60 check per hour per IP address limit. If you hit this limit in any hour you’ll be locked out for the rest of the hour.

Solution: You will need to disable the automatic checking for new emails. If you do not want to disable it, just set it to check less often. Keep in mind the more computers you have automatically checking and/or manually checking the mail, the quicker you will hit this limit.
